Information we collect

Enquiries and business relationships

When you contact us or request a quote, we may collect your name, company, business email address, enquiry type, message and any other information you choose to provide. During a customer, supplier or partner relationship, we may also hold your job title, business telephone number and records of our correspondence.

You are not legally required to use our forms. Fields marked as required are needed so that we can understand and respond to your enquiry. If you do not provide them, we may be unable to respond or prepare a quotation.

Technical website information

Our hosting and security services may process limited technical information, such as IP address, browser type, request times and pages requested, to deliver and protect the website and diagnose faults. We use Cloudflare Web Analytics to understand website performance and aggregate usage. Cloudflare states that this service is cookie-free and does not collect or use visitors’ personal data.

Why we process personal information

  • To respond to enquiries and prepare requested proposals or quotations.
  • To take steps before entering into a contract and to deliver contracted services.
  • To communicate with customers, suppliers and partners about service delivery.
  • To maintain business records, meet legal obligations and protect our legal rights.
  • To operate, secure, monitor and improve our website and systems.
  • To send relevant business communications where lawful. You may object or opt out at any time.

Depending on the activity, we rely on steps taken at your request before a contract, performance of a contract, compliance with legal obligations, our legitimate interests, or consent where consent is required.

Our legitimate interests

Where we rely on legitimate interests, those interests are responding to business enquiries, managing customer and partner relationships, operating and securing our systems, improving our services, maintaining appropriate records and communicating relevant Panacea services to business contacts. We consider the necessity and effect on individuals before relying on this basis.

Who may receive personal information

Website enquiries are directed to [email protected]. We may share personal information with hosting, email, security and other technology suppliers that process information for us; professional advisers and authorities where required; and trusted delivery partners where sharing is necessary to provide an agreed service.

We do not sell personal information and do not share it with third parties for their own marketing.

International processing

Some suppliers or their sub-processors may process information outside the UK. Where this happens, we require an appropriate legal safeguard, such as UK adequacy regulations, the UK International Data Transfer Agreement or the UK Addendum to approved standard contractual clauses, together with appropriate security measures. Contact us if you would like further information about the safeguard used for a particular transfer.

How long we keep information

We retain enquiry information only for as long as it remains relevant to the enquiry and our legitimate business needs. Where an enquiry leads to a customer relationship, customer and customer-organisation information is normally retained while the relationship remains active and for up to five years afterward, unless a longer period is required by law, contract or a legal claim.

Backups are retained for up to 30 days under Panacea’s current retention policy. When information is deleted from active systems, deletion from backups may be completed during that backup cycle.

Cookies and analytics

Cloudflare Web Analytics measures website performance without using cookies and, according to Cloudflare, without collecting or using visitors’ personal data. The website may use strictly necessary cookies for security, administration and form operation.

If we introduce non-essential analytics, advertising or similar cookies, we will explain them and request consent before setting them where the law requires it.

Your data-protection rights

Depending on the circumstances, you may have the right to:

  • access your personal information;
  • correct inaccurate information;
  • request deletion;
  • restrict processing;
  • object to processing based on legitimate interests or direct marketing;
  • receive portable information where applicable;
  • withdraw consent at any time where processing relies on consent;
  • complain to the Information Commissioner’s Office.

Your right to object

You have an absolute right to object to direct marketing. You may also object to processing based on our legitimate interests because of your particular situation. Email [email protected] to exercise this right.

We may need to verify your identity before completing a request. If you remain concerned after contacting us, you can complain to the Information Commissioner’s Office at ico.org.uk/make-a-complaint, call 0303 123 1113, or write to Wycliffe House, Water Lane, Wilmslow, Cheshire, SK9 5AF.

How we protect and assess information

We use appropriate technical and organisational measures designed to protect personal information against unauthorised access, alteration, disclosure, loss or destruction. Access is limited to people and suppliers who need it for an authorised purpose.

Automated decision-making

We do not use personal information for solely automated decisions that produce legal or similarly significant effects, and we do not profile website visitors for marketing.

Our website and services are intended for organisations and are not directed at children. Our pages may link to websites operated by other organisations; their privacy practices are governed by their own policies.

We may update this policy when our services, suppliers or legal obligations change. The latest version and revision date will remain available on this page.
